Your club’s data belongs to your club. We hold it to run the service for you, we never sell it, never share it with another club, and never market to your members. You can export it or leave at any time.
Klubo is club-management software: member records, class schedules, attendance, packages and fees. We provide it as a service over the internet, and we aim to keep it available, but we do not promise uninterrupted service.
A new club gets 30 days free of the full Klubo, with every feature included and no card required. The 30 days run from the day you sign up, and restart at a full 30 days on the day you bring your first students in — by import or one at a time. A club that has never had a student keeps waiting until the first students arrive.
When the trial ends without a subscription, the club moves to Klubo Free. It is not locked and has no time limit. Klubo Free covers up to 50 active members and 2 staff logins, with members and parent contacts, classes and attendance, packages, the parent app, PayNow and payments marked by hand, and a full export of your data at any time. The paid tools — among them the drop-off and renewals lists by name, WhatsApp chase messages, the money overview, the Monday email, GST tax invoices, card payments and automatic billing, make-ups, waitlist, grading, venues, private lessons and holiday camps — need a subscription. Nothing you entered is deleted or hidden when a club moves to Klubo Free; a club with more than 50 active members keeps them all but cannot add more.
Subscriptions are monthly or yearly, in Singapore dollars, charged by Stripe. The price depends on how many members your club has: Base up to 100 members (S$149/month), Growth up to 250 members (S$249/month), and Pro with no member limit (S$399/month). Our first ten clubs pay S$149/month on Base or Growth for as long as they stay subscribed. Clubs that subscribed at the earlier founding price of S$99/month keep it on the same terms. Paying yearly costs ten months for twelve. A move to a larger plan takes effect at once and the difference is charged for the rest of the current period; a move to a smaller plan takes effect when the period you have paid for ends.
If you subscribe while your trial is still running, you keep the free days you have left — starting to pay early never costs you time you were promised.
The price shown is the price charged. There is no setup fee and nothing is added to the subscription price. When a parent pays your club by card through Klubo, Stripe’s card fee (about 3.4% plus fifty cents) is shown to the parent as a separate “card processing fee” line at checkout and added to their payment; your club is not charged for it. Payments by PayNow or bank transfer carry no fee.
You can cancel at any time from Settings, without asking us. Cancelling takes effect at the end of the period you have already paid for — we do not cut a club off mid-month, and we do not refund part-months, except under the first-month guarantee: a club’s first payment is refunded in full if asked for within 30 days of it. After that your club moves to Klubo Free, which is not locked and has no time limit, and your data is still yours to export. The full refund and cancellation policy is at getklubo.com/refunds.
If a payment fails, we will tell you and your club keeps working for seven days while you update your card. After that it moves to Klubo Free. Nothing is locked or deleted because of a failed payment.
You can stop using Klubo whenever you like. We may end the service if these terms are seriously or repeatedly broken, and we will tell you why and give you a reasonable chance to put it right, and time to export your data, unless the law prevents us.
To the extent Singapore law allows, Allyvate Pte Ltd’s total liability to your club for anything arising from these terms or the service is limited to the fees your club paid us in the twelve months before the claim. We are not liable for lost revenue, lost profit, or a fine or penalty that results from data your club entered, consent your club did not obtain, or a message your club sent without checking it. Nothing here limits liability for fraud, for death or personal injury caused by negligence, or for anything that cannot be limited by law — and nothing here reduces what we owe you under sections 8 to 16 if personal data in our care is lost or disclosed through our fault.
Under the PDPA, your club is the organisation responsible for its members’ personal data, and Klubo acts as a data intermediary. We process that data only to provide and support the service, on your instructions — these terms and your use of the service being those instructions — except where Singapore law requires otherwise.
All personal data and club records entered into Klubo remain your club’s property. We claim no ownership of them. We do not sell your data, share it with any other club, or use it to market to your members.

Your club decides what to enter. Please do not enter categories of data not listed here without telling us first.
Most members are likely to be children, and we treat their data with particular care. We do not use children’s data for marketing, profiling or automated decision-making, and we do not disclose it other than as set out here. Where consent is required for a young member, your club is responsible for obtaining it from a parent or guardian.
We review these arrangements from time to time and may improve them, but never reduce them.
Klubo’s database, authentication and file storage run on Supabase in Singapore (ap-southeast-1). We also use Vercel to host and deliver the application, Stripe to take payments, and an email provider for transactional messages such as receipts and password resets. Some of these process data outside Singapore; where they do, we require protection comparable to the PDPA.
We keep your club’s data for as long as your account is active — on Klubo Free too, for as long as the club keeps its account. On your written request, or within 30 days of the service ending, we delete it from our live systems, except where the law requires us to keep it. Backups are overwritten on our ordinary cycle, expected within 90 days, and data in them stays protected by these terms until then. We will confirm deletion in writing if you ask.
If we become aware of unauthorised access to, or loss or disclosure of, your club’s personal data, we will tell you without undue delay and in any event within 72 hours of becoming aware. We will describe what happened, what data was affected so far as we know, what we are doing, and what we suggest you do — and we will help with any assessment or notification you must make under the PDPA.
We will help you respond to access and correction requests under the PDPA. If an individual contacts us directly about their data, we will refer them to your club rather than answer on your behalf, unless you tell us otherwise.
